ApexOne Asia (“ApexOne”, “we”, “us” or “our”) is committed to protecting the privacy and personal data of everyone who engages with us. This Privacy Policy explains how we collect, use, disclose, store and protect your personal data, and the rights available to you. It is issued in accordance with the Personal Data Protection Act 2010 of Malaysia (“PDPA”).

1. Who we are

ApexOne Asia is a brand of Ezra & Macquarie Sdn Bhd (Company No. 1009378-U), a company incorporated in Malaysia (the “data user” for the purposes of the PDPA). Registered office: C09-06, Centum@Oasis Corporate Park, No. 2 Jalan PJU 1A/2, 47301 Ara Damansara, Petaling Jaya, Selangor, Malaysia. Where this policy refers to ApexOne, it refers to Ezra & Macquarie Sdn Bhd operating under the ApexOne Asia brand.

2. Scope of this policy

This policy applies to personal data we collect through our website (apexone.asia), our training programmes, corporate and in-house engagements, our conferences and events (which are primarily held in Malaysia), and any related communications by email, telephone, WhatsApp, or in person.

3. Personal data we collect

Depending on how you interact with us, we may collect the following categories of personal data:

• Identity and contact data — name, job title, organisation, email address, telephone/WhatsApp number, and business address.
• Enquiry and registration data — the content of your enquiry, area of interest, programme or conference registrations, and delegate details.
• Event participation data — attendance records, dietary or accessibility requirements you choose to share, and networking preferences.
• Payment and claims data — billing details and information required to process HRD Corp (Human Resource Development Corporation) claims where applicable. We do not store full card numbers; payments are handled by our payment or banking partners.
• Marketing data — your preferences for receiving communications from us.
• Technical data — IP address, browser type, device information and website usage collected through cookies and similar technologies.
• Images and recordings — photographs, audio and video captured at our conferences and events (see Section 8).

4. How we collect it

We collect personal data when you complete a form on our website, contact us by email, telephone or WhatsApp, register for or attend a programme or conference, exchange business cards or details at our events, or interact with our website. In some cases we may receive your details from your employer, an event sponsor or partner, or a colleague registering on your behalf.

5. How we use your data

We process personal data to:

• respond to enquiries and provide the information, programmes or services you request;
• administer registrations, bookings, attendance and delegate logistics for training and conferences;
• process payments, issue invoices and receipts, and facilitate HRD Corp claims;
• communicate with you about programmes, conferences, schedules and changes;
• send you marketing communications where you have consented (you may opt out at any time);
• improve our website, programmes and services;
• maintain records and comply with our legal, regulatory and accounting obligations.

6. Consent and legal basis

By providing your personal data to us, submitting an enquiry, or registering for a programme or conference, you consent to the collection, use and disclosure of your personal data in accordance with this policy. Where the law requires, we will obtain your explicit consent. You may withdraw your consent at any time by contacting us, although this may affect our ability to provide certain services to you. We also process data where necessary for the performance of a contract with you or to comply with a legal obligation.

7. Disclosure of your data

We may disclose your personal data to:

• our trainers, facilitators, faculty and speakers, to the extent needed to deliver a programme or session;
• venue operators, event and logistics partners supporting our conferences and events in Malaysia and the region;
• HRD Corp and relevant government or regulatory bodies where required for training grants, claims or compliance;
• payment processors, banks and professional advisers (such as accountants and auditors);
• IT, hosting and communications service providers who process data on our behalf under appropriate confidentiality obligations;
• sponsors or co-organisers of a specific event, only where you have consented (for example, by opting in to share your details with a sponsor);
• competent authorities, where required by law or to protect our rights.

We do not sell your personal data.

8. Photography and recording at events

Our conferences and events are professional gatherings that may be photographed, filmed or recorded for reporting, archival and marketing purposes. By attending, you acknowledge that your image or voice may be captured and used by ApexOne and Ezra & Macquarie in materials such as event recaps, social media, our website and promotional content. If you do not wish to be featured, please notify our event team on site or contact us in advance at contact@apexone.asia, and we will take reasonable steps to accommodate your request.

9. Cross-border transfers

ApexOne operates across Southeast Asia and works with service providers that may be located outside Malaysia. Where we transfer your personal data outside Malaysia, we take reasonable steps to ensure it is protected to a standard consistent with the PDPA.

10. Data security

We apply reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure or alteration. While we strive to protect your data, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Data retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy legal, accounting, tax or reporting requirements. When data is no longer required, we will take reasonable steps to delete or anonymise it.

12. Your rights under the PDPA

Subject to the PDPA, you have the right to:

• request access to the personal data we hold about you;
• request correction of inaccurate, incomplete or outdated data;
• withdraw your consent to our processing of your data;
• limit the processing of your personal data, including for direct marketing;
• make an enquiry or complaint about how we handle your data.

13. Cookies and analytics

Our website may use cookies and similar technologies to operate the site, remember your preferences and understand how the site is used. You can control or disable cookies through your browser settings, though some features may not function properly as a result.

14. Third-party links

Our website and communications may contain links to third-party websites (including our conference platforms and Ezra & Macquarie). We are not responsible for the privacy practices of those sites, and we encourage you to review their privacy policies.

15. Children's privacy

Our services are directed at professionals and organisations. We do not knowingly collect personal data from individuals under the age of 18. If you believe we have inadvertently collected such data, please contact us so we can remove it.

16. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will always be published on this page with the “Last updated” date revised accordingly. Your continued engagement with us after changes take effect constitutes acceptance of the updated policy.
